After gaining university admission in Nigeria, prepare your JAMB admission letter, O’Level results, birth certificate, passport photographs and the registration forms requested by your school. UTME candidates should also have their original JAMB result slip, while Direct Entry candidates need the qualification used for admission.
Universities also request documents such as acceptance-fee receipts, local government identification, reference letters and medical clearance. Your university’s clearance notice determines the exact documents, number of copies and submission procedure.
Official checklists from the University of Ibadan, Rivers State University and Northwest University, Kano show these common requirements alongside school-specific additions.
University Admission Documents Checklist
Start with this preparation list, then match it against your university’s instructions for your academic session.
| Document | What to prepare |
|---|---|
| JAMB admission letter | The document generated through JAMB e-Facility, including the institution copy when requested |
| JAMB original result slip | For UTME candidates; use the official result slip |
| O’Level results or certificates | The WAEC, NECO, NABTEB or other accepted qualification used for admission |
| Direct Entry credentials | Your applicable A’Level, NCE, ND, HND, degree or other accepted entry qualification |
| Birth certificate or accepted declaration of age | The form of age evidence specified by the university |
| Passport photographs | The required quantity, size and background colour |
| Acceptance-fee receipt | The official receipt after completing the required payment |
| University admission or acceptance document | Any letter, confirmation or form issued through the school’s process |
| LGA identification or certificate of origin | The particular document named in the checklist |
| Screening and registration forms | Completed forms downloaded or generated through the university portal |
This list helps you prepare; it does not make every item compulsory at every institution. For example, RSU’s 2024/2025 clearance notice specifically requested an accepted CAPS status printout, while UI’s 2025/2026 notice included its own Form B003.
Admission and Academic Documents
JAMB admission letter
Obtain your admission letter through JAMB e-Facility. Check that the institution and course match the admission you accepted.
A screenshot showing your CAPS status is not the admission letter. If the university requests both documents, prepare both.
For physical clearance, print the version specified by the school. UI’s 2025/2026 notice, for example, requested the institutional copy printed in colour.
University-issued admission or acceptance document
Keep any admission notification, acceptance confirmation or registration letter issued by your university.
Use the document named in its checklist. Some forms become available only after a payment, verification or approval stage, so follow the portal sequence rather than looking for a document that has not yet been generated.
JAMB result slip
UTME candidates should prepare the original result slip generated through JAMB’s service. An SMS showing your score does not replace the result slip requested for clearance.
Direct Entry candidates should follow their own entry-route checklist. They should not attempt to produce a UTME result for an examination they did not take.
O’Level results
Prepare the results you used to meet the admission requirements. If your admission was based on two accepted sittings, keep both sets of results ready.
Check whether your university requires:
- The examination certificate.
- A statement of result.
- An online result printout.
- Result-verification details, such as the relevant checker card or token.
These formats are not automatically interchangeable. Northwest University’s 2024/2025 notice expressly allowed an original online result printout where the original O’Level certificate was unavailable. That permission applied to its published exercise; another university can set a different rule.
If your certificate is not ready, ask the admission office which temporary document it accepts before travelling.
Additional Documents for Direct Entry Students
Direct Entry candidates must document the qualification on which their admission is based.
| Entry qualification or situation | Documents to check |
|---|---|
| A’Level admission | The relevant A’Level result or certificate |
| ND or NCE admission | Certificate or accepted statement of result |
| HND or first-degree admission | The qualification documents specified by the university |
| JAMB Direct Entry application | Registration or acknowledgement slip |
| Transcript requirement | Instructions for delivery by the previous institution |
| Previous HND or degree graduate | Any NYSC discharge or exemption document specifically requested |
UI’s 2025/2026 clearance notice requested a JAMB acknowledgement slip from Direct Entry candidates and NYSC documentation from HND and university-degree graduates. Northwest University’s 2024/2025 checklist requested academic transcripts from Ordinary Diploma and National Diploma candidates.
Start transcript arrangements early if your school requires them. Confirm the recipient, delivery method and deadline. A photocopy of your result is not a substitute for an officially requested transcript.
Identity and Personal Documents
Birth certificate or declaration of age
Read the exact requirement. A checklist that accepts a birth certificate or declaration of age gives you alternatives; a checklist naming a particular certificate should be followed as written.
Check the date of birth against your JAMB and other registration records. Report discrepancies before clearance rather than assuming an affidavit will automatically resolve them.
Local government identification or certificate of origin
Universities use different names for origin documents, including:
- Local government identification letter.
- Certificate of origin.
- Indigene certificate.
- Certificate of identification.
Check the issuing authority and wording requested by your school. Do not obtain several similarly named documents unless the checklist actually requires them.
Passport photographs
Confirm the quantity and background colour before taking or printing photographs.
There is no universal requirement of “12 passports for all freshers.” UI’s 2025/2026 notice requested two photographs, while Edo State University Iyamho’s 2025/2026 checklist requested 12. Northwest University’s 2024/2025 instructions specified a white background.
Keep a digital copy as well if your portal requires an upload.
Matching names and dates
Compare your name and date of birth across your results, JAMB documents, birth record and university application.
Babcock’s 2026/2027 new-student guidance expressly requires consistent name spelling and arrangement, as well as matching dates of birth, across the documents it identifies.
If details differ, contact the admission office and the relevant issuing body for the correction procedure. Do not alter a scanned certificate or result to make the records appear consistent.
Payment Receipts and Portal Forms
Save the official receipts for every required payment you complete. These can include acceptance fees, school charges, medical screening and accommodation.
An invoice is a request for payment; it is not proof that you paid. Download the successful-payment receipt from the portal. Keep your bank evidence too, particularly if the payment has not reflected.
Do not assume every university requires full school-fee payment before clearance. PLASU’s 2025/2026 procedure placed tuition payment after faculty clearance, while other universities specify payments earlier in their registration process. Follow your school’s order.
Portal documents can include screening slips, biodata forms, acceptance forms and clearance forms. Complete required signatures and fields before submission.
Course-registration forms and some student records are produced later. You do not need to arrive with documents that the university generates only after clearing you.
Documents Required Only by Some Universities
Reference, attestation or guarantor letters
Read who must write the letter, who it should address and whether the school provides a template.
These documents serve different purposes. A reference from a teacher is not automatically interchangeable with a parent’s guarantor letter.
For example, UI’s 2025/2026 notice requested two reference letters from reputable personalities on letterheaded paper, while Edo State University’s checklist named a parent or guardian’s guarantor letter.
Medical screening documents
Check where the medical examination must take place before paying for tests.
PLASU’s 2025/2026 instructions required students to attend the university clinic and present its medical report during clearance. A report obtained elsewhere would not follow that published procedure.
Download the university’s medical form first if one is provided, then follow its instructions.
Affidavits and undertakings
Some schools request affidavits of good conduct, non-membership of secret cults or other undertakings. Prepare the specific document listed, using the school’s wording or template where supplied.
Do not pay for a bundle of affidavits simply because another student’s university required them.
School testimonials and leaving certificates
Keep these available if your university requests them. Northwest University’s 2024/2025 checklist included a primary school leaving certificate or testimonial, illustrating why a general admission checklist cannot replace the school’s own notice.
Change-of-course or change-of-institution acknowledgement
If you changed your course or institution, retain the acknowledgement and check that your admission documents reflect the approved placement.
Some universities explicitly request this printout. Edo State University’s 2025/2026 clearance checklist is one example.
How to Arrange Your Documents for Clearance
Use three folders:
| Folder | Contents |
|---|---|
| Originals | Certificates, original credentials and other documents required for sighting |
| Submission copies | Photocopies and completed forms arranged in the school’s checklist order |
| Digital backup | Clear scans, downloaded PDFs and payment receipts |
Prepare the number of copies specified by the university. If the notice does not state a quantity, ask the admission office rather than relying on another school’s requirements.
For online uploads:
- Read the accepted file format and size limit.
- Scan the complete document, including relevant reverse pages.
- Check that names, grades, dates, signatures and stamps are readable.
- Upload each document to the correct field.
- Preview the uploaded files and confirm submission.
Reduce file size without making the text unreadable. Do not edit the document’s contents.
For physical clearance, present originals for inspection and submit the copies requested. If an office needs to retain an original, confirm the official procedure and obtain an acknowledgement.
What to Do If a Required Document Is Missing
Contact the admission office before the deadline. Name the missing document and explain what you currently have.
| Problem | Action |
|---|---|
| O’Level certificate is not ready | Ask whether the school accepts a statement of result or online printout temporarily |
| JAMB admission letter is unavailable | Check your JAMB admission record and report the problem |
| Payment succeeded but no receipt appeared | Keep the transaction reference and request payment confirmation |
| Transcript has not arrived | Follow up with the issuing institution and inform the receiving university |
| Names or dates do not match | Request the approved correction procedure |
| A form requires someone else’s signature | Arrange completion before your scheduled clearance |
Ask whether provisional clearance or later submission is permitted for your case. Do not assume permission, and do not miss the deadline silently.
Final Check Before You Travel or Submit Online
Confirm that:
- You are using the notice for your university, session and entry route.
- Your institution and course match across the relevant records.
- Your required originals, copies and photographs are ready.
- Forms are completed and signed.
- Payments have official receipts.
- Medical and reference documents follow the school’s specifications.
- You know the clearance date, location or online submission deadline.
For the earlier stages of the process, use the CampusNinja JAMB hub.
Frequently Asked Questions
Do I need both originals and photocopies?
For physical clearance, universities commonly request both. Originals establish authenticity; copies are used for documentation. Follow the quantity and submission instructions in your school’s notice.
Can I use a WAEC or NECO result printout instead of the certificate?
Only where the university accepts it. Check the published instructions or obtain confirmation from the admission office before relying on a printout.
Is a birth certificate compulsory if I have a declaration of age?
That depends on the checklist. Several institutions accept either, but you must use an option your university permits.
Do all freshers need an affidavit?
No. Prepare an affidavit when your university requests a particular one or directs you to obtain it for a specific issue.
Can someone complete clearance for me?
Do not assume proxy clearance is allowed. Physical verification can require your presence. If you cannot attend, ask the university about an approved alternative before the scheduled date.
Is accepting admission on CAPS enough to complete university registration?
No. Admission acceptance, document clearance, required payments and course registration are separate stages. Complete the sequence published by your university.
